Job Summary

American Auto Parts Limited, a leading provider of automotive parts and services, is seeking a diligent and detail-oriented Account Officer to join our financial team. The successful candidate will be responsible for maintaining the accuracy of our financial records, processing transactions, and contributing to the overall financial health of the organization. This role is ideal for individuals with a passion for numbers, an eye for detail, and the ability to manage financial processes efficiently.

The Account Officer will collaborate closely with senior accounting staff and management to ensure timely and accurate financial reporting. This is a full-time position based in Accra, and it offers an exciting opportunity for an entry-level professional to grow within the company, gaining hands-on experience in a fast-paced, results-driven environment.

Minimum Qualification:

  • A degree in Accounting, Finance, Business Administration, or a closely related field.

Experience Level:

  • Entry-level, suitable for early-career professionals.

Experience Length:

  • 1-2 years of practical experience in accounting, financial management, or bookkeeping.

Key Responsibilities:

1. Financial Record Maintenance:

  • Maintain accurate and comprehensive financial records in accordance with standard accounting practices.
  • Regularly update accounting ledgers to ensure transactions are recorded in a timely and accurate manner.
  • Ensure compliance with organizational policies and accounting regulations in all financial activities.

2. Invoice and Payment Processing:

  • Process incoming invoices, ensure accurate coding, and verify that payments align with company guidelines.
  • Assist in handling payments to suppliers, vendors, and service providers, ensuring that transactions are processed within stipulated timelines.
  • Address any discrepancies in billing and coordinate with vendors or internal departments to resolve issues efficiently.

3. Bank and Account Reconciliation:

  • Perform routine reconciliations of bank accounts, ensuring that all transactions are correctly recorded.
  • Reconcile discrepancies between company financial statements and bank records, and investigate any inconsistencies to ensure accuracy in reporting.
  • Work closely with the finance team to maintain a clean reconciliation record, preparing monthly, quarterly, and annual reports.

4. Budgeting and Forecasting Support:

  • Collaborate with senior financial staff to develop company budgets and forecasts based on financial performance, market trends, and business needs.
  • Assist in monitoring budget adherence across departments, identifying areas where actuals deviate from forecasts, and providing explanations for variances.
  • Contribute to the creation of cash flow projections to ensure the company maintains liquidity for ongoing operations.

5. Preparation of Financial Statements:

  • Assist in the preparation of monthly, quarterly, and annual financial statements, ensuring that all reports are completed accurately and submitted on time.
  • Work with the finance team to generate balance sheets, profit and loss statements, and cash flow statements, analyzing trends and identifying opportunities for improvement.
  • Help provide financial data and insights to support decision-making at the senior management level.

6. Audit and Compliance Support:

  • Assist with internal and external audits, ensuring that all financial records and transactions are documented, well-organized, and accessible for review.
  • Ensure compliance with tax regulations, filing requirements, and other statutory obligations.
  • Prepare and provide necessary financial documentation to support audit processes and queries from auditors.

7. Spreadsheet Development and Management:

  • Develop and manage comprehensive accounting spreadsheets to track financial data, forecasts, and budgets.
  • Ensure that all accounting data is entered correctly into spreadsheets, and that they are regularly updated to reflect current financial performance.
  • Support senior accountants in financial modeling and data analysis using Excel or other financial software tools.

8. Customer and Vendor Relations:

  • Serve as the primary point of contact for queries from vendors, customers, and internal departments regarding financial transactions.
  • Ensure that customer and vendor accounts are maintained accurately, following up on outstanding payments or discrepancies.
  • Provide excellent customer service by addressing any billing or payment issues in a timely and professional manner.

9. General Administrative Support:

  • Provide administrative support to the accounting department, including managing emails, filing financial records, and handling incoming correspondence related to financial matters.
  • Assist senior accounting staff with day-to-day financial operations, ensuring smooth and efficient functioning of the department.
  • Contribute to the development and implementation of new financial procedures to improve efficiency and accuracy.

Requirements:

1. Educational Background:

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related discipline.

2. Experience:

  • At least 1-2 years of relevant work experience in accounting, finance, or a similar role.
  • Experience in the automotive industry is a plus but not mandatory.

3. Accounting Principles:

  • Strong knowledge of general accounting principles, financial reporting standards, and bookkeeping procedures.
  • Familiarity with Ghanaian tax laws, accounting regulations, and financial reporting requirements.

4. Technical Skills:

  • Proficiency in accounting software such as QuickBooks, Sage, or Tally, and familiarity with Microsoft Office applications, particularly Excel.
  • Ability to create and manage spreadsheets, perform data analysis, and generate financial reports.
  • Knowledge of financial systems and ability to troubleshoot common issues with accounting software.

5. Analytical and Problem-Solving Skills:

  • Strong analytical abilities with attention to detail in managing financial data and identifying discrepancies.
  • Ability to solve problems effectively, particularly when handling financial queries or discrepancies.
  • Proactive mindset with the ability to anticipate potential financial challenges and propose solutions.

6. Organizational Skills:

  • Exceptional organizational skills, with the ability to manage multiple tasks and priorities simultaneously.
  • Ability to work under pressure and meet deadlines, especially during financial reporting periods.
  • Attention to detail in maintaining accurate financial records and preparing reports.

7. Communication and Teamwork:

  • Excellent communication skills, both verbal and written, with the ability to explain financial information to non-financial staff.
  • Ability to work collaboratively in a team environment and provide support to senior accountants and finance staff.
