Job Summary:
A reputable company in the mining, energy, and metals industry is seeking an experienced Payroll Officer to manage and oversee the payroll functions. The successful candidate will ensure that employees are compensated accurately and on time, while adhering to company policies, legal requirements, and industry best practices. The role demands attention to detail, a strong grasp of payroll systems, and the ability to handle confidential information with integrity.
Key Responsibilities:
- Payroll Processing:
- Manage the full payroll cycle, including the accurate calculation and timely distribution of salaries, wages, bonuses, and deductions.
- Process payroll for employees in accordance with company policies, labor laws, and tax regulations.
- Ensure all statutory deductions, such as taxes, social security contributions, and pensions, are processed and remitted on time.
- Data Entry and Maintenance:
- Maintain and update payroll data, including employee details, salary adjustments, leave balances, and overtime records.
- Ensure that payroll data is up to date and accurately reflects any changes in employment status, salary, or benefits.
- Compliance and Reporting:
- Ensure payroll activities comply with relevant labor laws, tax regulations, and company policies.
- Prepare and submit payroll-related reports to management and external agencies, including tax authorities and social security bodies.
- Assist with audits and provide necessary payroll documentation as required.
- Issue Resolution:
- Address employee queries related to payroll, such as discrepancies in payments, deductions, or leave balances.
- Investigate and resolve any issues related to payroll processing, ensuring timely correction of errors.
- System Management:
- Utilize payroll software to process and manage payroll data, ensuring that systems are functioning efficiently.
- Recommend and implement improvements to payroll processes and systems to increase efficiency and accuracy.
- Collaboration:
- Work closely with the HR and Finance departments to ensure accurate processing of new hires, terminations, and other personnel changes that impact payroll.
- Collaborate with other team members to ensure smooth payroll operations and provide input on compensation strategies.
- Confidentiality and Record Keeping:
- Maintain strict confidentiality of payroll data and employee records.
- Ensure accurate record-keeping of payroll activities, maintaining files for future reference and audit purposes.
Skills and Qualifications:
- Educational Background:
- A Bachelor’s Degree in Accounting, Finance, or a related field is required.
- Professional certification in payroll management is a plus.
- Experience:
- A minimum of 5 years of experience in payroll management, ideally within the mining, energy, or metals industry.
- Prior experience with payroll software and ERP systems is required.
- Technical Skills:
- Proficient in payroll software and Excel, with the ability to handle complex calculations and large data sets.
- Knowledge of tax laws, labor regulations, and payroll practices in Ghana.
- Familiarity with accounting principles and financial reporting.
- Communication and Problem-Solving:
- Strong communication skills, with the ability to explain payroll processes and address employee concerns clearly.
- Excellent problem-solving skills, particularly in handling payroll discrepancies or system issues.
- Attention to Detail:
- Strong attention to detail, ensuring accuracy in all aspects of payroll processing.
- Ability to prioritize tasks and work under tight deadlines.
