Job Summary:

Debill Services Limited is actively seeking an enthusiastic Assistant Accounts Officer (Intern) to join our growing finance and accounting department. This role is perfect for a motivated individual looking to gain hands-on experience in accounting and finance. The selected candidate will assist in various accounting tasks, including data entry, ledger management, transaction reconciliation, audit preparation, and report generation. The Assistant Accounts Officer (Intern) will play a key role in ensuring the accuracy and efficiency of our financial operations.

Minimum Qualification:

  • Higher National Diploma (HND) in Accounting, Commerce, or a related field.

Experience Level:

  • Entry-level position suitable for individuals with up to 1 year of professional experience.

Key Responsibilities:

1. Transaction Entry:

  • Accurately enter financial transactions into various ledgers, ensuring all entries comply with accounting standards and company policies.
  • Maintain and update accounting records, including payments, receipts, invoices, and journal entries.
  • Handle data entry tasks related to purchase orders, bills, and other financial documents into the company’s accounting software.

2. Ledger Reconciliation:

  • Reconcile general ledgers and sub-ledgers on a regular basis, ensuring that all entries are accurate and up to date.
  • Assist in identifying and rectifying discrepancies in financial records.
  • Support month-end and year-end closing processes by preparing relevant ledger reports.

3. Reporting and Analysis:

  • Assist in preparing financial reports and statements, including balance sheets, profit and loss statements, and cash flow reports.
  • Contribute to budget preparation by providing timely and accurate data.
  • Provide regular updates on the status of ledgers and sub-ledgers, ensuring the finance team is informed about any potential issues or discrepancies.

4. Audit Support:

  • Collaborate with the finance team to prepare for internal and external audits.
  • Assist in fact-checking and verifying financial information to ensure compliance with regulatory requirements.
  • Help compile necessary documentation and reports needed for audit purposes.

5. Document Management:

  • Maintain a systematic filing system for all financial documents, including invoices, receipts, contracts, and other accounting records.
  • Ensure all financial documents are stored securely and can be easily accessed when needed.
  • Support the finance team in organizing and managing accounting and finance-related documentation.

6. Collaboration and Team Support:

  • Work closely with other members of the finance and accounting team to ensure smooth and efficient operations.
  • Provide support for various accounting tasks as needed, including helping with special projects or assignments.
  • Demonstrate strong teamwork skills and the ability to work independently when required.

Skills and Competencies:

1. Cognitive Skills:

  • Strong knowledge of Microsoft Excel and proficiency in spreadsheet management.
  • Basic understanding of accounting principles, including general ledger accounting, accounts payable/receivable, and financial reporting.
  • Ability to analyze financial data and produce detailed and accurate reports.

2. Communication and Presentation Skills:

  • Excellent verbal and written communication skills are required for internal and external correspondence.
  • Ability to present financial data in a clear and concise manner.
  • Capable of producing visually appealing financial reports that communicate key metrics effectively.

3. Teamwork and Independence:

  • Must possess a strong sense of teamwork and the ability to collaborate with colleagues in different departments.
  • Highly motivated and capable of working independently with minimal supervision.
  • Ability to handle multiple tasks with tight deadlines and manage time effectively.

Qualifications and Requirements:

  • Educational Background: Candidates must have a relevant degree or HND in Accounting, Commerce, or a related field.
  • Work Experience: A minimum of 1 year of practical experience in an accounting role is preferred. Knowledge of ledger management, reconciliation, and financial reporting is necessary.
  • Technical Skills: Must be proficient in accounting software and Microsoft Office applications, especially Excel for data entry, analysis, and reporting.
  • Additional Skills: Candidates with prior marketing experience or exposure to financial communication will have an added advantage.
